Learn how to make the most out of Webex Teams on your mobile phone.

Getting to know Webex Teams

With the Cisco Webex Teams app for iPhone and iPad, you can stay in touch with your coworkers, get access to all your messages and files, make calls, and join meetings without needing to be at your desk. Plus, the mobile app has some features that the desktop app doesn't, which makes the mobile app more suited to some functions.

Logging in to Webex Teams

Download the Webex Teams app from the App store. Once downloaded, login to Webex Teams using your FirstName.LastName@police.govt.nz email address. REMEMBER to upload your profile picture.

When you first set up Webex Teams, accept the requests to let the app access your camera, microphone, notifications, etc to ensure the app will work properly.

How to access the Space features

Click the Activity Menu button to access the Space features from your mobile phone.

Customise your messages

Contacting a person - Mobile phone

You can easily contact a colleague or an external person through Webex Teams. You can message them, share files securely or start a video call.

Tap the search bar at the top of the mobile app.
Start typing the name of the person or space
When their name appears:

If you want to chat or exchange files:

Tap their name.
Write your message.
Attach a file if you want, using the bar below your message
Press Send.

A note on collaborating with external participants

Be mindful of your audience and only share appropriate content when external people are part of a space.

Creating a team Space - Mobile phone

If you need to collaborate in real-time with more than one person, you can create a new Space and add your team. This is a Space for group conversation that you can always refer to.

Press the + sign next to the search bar on top of the app.
Start typing the name of the first person.
Click on their name when it appears.
Repeat step 2 and 3 to add other people.
Tap Space Name.
Type a name for that new Space.
Type a message.
Tap Send.

You can now send messages or files to everybody in the Space.
Tip: To get the right people's attention, @mention them in the Space, or @all to notify everyone.

Call your team's Space - Mobile phone

You can escalate a group chat to a real-time audio or video call by calling a Space. Video is important to get the full picture when someone is discussing a lead: Turn your camera on.

It's best to send a message to the Space before you start the call, so people know what the call is about. Alternatively, schedule a meeting if you need all members to join.

To call the Space:

Tap the Space you want to call.
In the top righthand corner, tap the Activity menu.
Tap Meet.
Choose Start with video or Start with audio.

Tip 1: When you're ready to join a call, tap the green join button at the top of your Space list.
Tip2: You can mute your line at any time by tapping microphone icon.

Share images with your phone

See something that may be applicable to your line of enquiry? Share it immediately by posting a picture in your Space. Everyone will receive a notification, and officers in the office can quickly enlarge it for closer inspection.

Open the Space you want to share with on your mobile.
Tap the image icon in the chat panel.
Select an image from your library.
Type a message to accompany the image and press send.

Open the Space you want to share with on your mobile.
Tap the camera icon to take a picture and press Use photo to send to the Space.

Share something live - Mobile phone

In your meeting, tap the More button (3 dots).
Tap Swap Camera. The meeting participants will now be able to see the view from your rear facing camera.
Tap the screen to see the mini view of your camera.

While you're in a video or audio meeting, you can show your team what you're seeing on your phone screen.

Tap the menu button from your meeting window.
Tap Screen sharing tutorial.
Follow the instructions on the tutorial.

Managing your notifications

If you are a member of lots of different teams and Spaces, you may want to customise your notifications to make them more relevant and avoid the noise.

There are 2 types of notifications:
Global: Apply the same notifications settings to all Spaces at once from the home screen. You can set notifications for your Spaces, scheduled meetings and direct calls.

Click your picture on the top left corner of the app.
Click Settings.
Click Notifications.

Custom: Apply notifications for a specific Space.

Select a Space.
Tap the name of the Space on top of the screen.
Tap Notifications.
To set up custom notifications, slide Global Notifications off.
Select the most appropriate option for that specific Space.

In both cases, you can choose the following options:
All messages: For those Spaces that are really important to your role, use this setting to get notified every time a new message comes in. We don’t recommend this for Spaces with a large number of people.

@Mentions only: A really useful setting that means you only get notified when someone @mentions your name directly, or uses the @All feature to mention everyone in the Space. Highly recommended to help manage what’s really important, especially in large Spaces.

Off: To switch-off all notifications.
