Logging in to Webex Teams

Login to Webex Teams using your FirstName.LastName@police.govt.nz email address. REMEMBER to upload your profile picture.

Click the Activity Menu button to access the Space features

Customise your messages

Contacting a person - desktop

You can easily contact a colleague or an external person through Webex Teams. You can message them, share files securely or start a video call.

Start typing the name of the person or Space into the search bar.
When their name appears.
Click their name or press Enter.

If you want to chat or exchange files:

Click on their name.
Write your message.
Attach a file if you want, using the bar below your message.
Press Send.

If you want to have a video call:

Hover over their name.
Click the video icon at the right side of their name.
Select Start with video.

*If contacting an external person, type their email address into a new message

Creating a team Space - Desktop

If you need to collaborate in real-time with more than one person, you can create a new Space and add your team. This is a Space for group conversation that you can always refer to.

Press the + sign next to the search bar on the top left corner.
Click Create a Space.
Type a name for the Space.
To add a person, start typing the name of the first person and click on their name.
Repeat step 4 and 5 to add more people.

You can now send messages or files to everybody in the Space.
Tip: To get the right people's attention, @mention them in the Space, or @all to notify everyone.

Call your team's Space - desktop

You can escalate a group chat to a real-time audio or video call by calling a Space. Video is important to get the full picture when someone is discussing a lead: Turn your camera on.

It's best to send a message to the space before you start the call, so people know what the call is about. Alternatively, schedule a meeting if you need all members to join.

How to call your team Space

Click the Space you want to call.
Click Activity menu in the top right corner
Select the Meet option.
And choose Start with video to get the call going.

Tip: Record the call for later reference, or to keep the absentees informed. You MUST announce your intention to record before you start recording the meeting.

To record the call:

Click the More button (3 dots) during the call.
Click Start recording.
When the call ends, the recording will be posted to Webex Teams.

Share your screen or application - desktop

While on a call, it's easy to share content in real-time, keeping everyone one the same page and aligned.

Share your screen

Press the share button from the bottom of your meeting screen.
Select the screen or application you want to share.
When you're done, press Stop at the top of the screen.

Note: Anyone on the call can share their screen too.

Managing your notifications

If you are a member of lots of different Teams and Spaces, you may want to customise your notifications to make them more relevant and avoid the noise.

There are 2 types of notifications:
Global: Apply the same notifications settings to all Spaces at once from the home screen. You can set notifications for your Spaces, scheduled meetings and direct calls.

Click your picture on the top left corner of the app.
Click Settings.
Click Notifications.

Custom: Apply notifications for a specific Space.

Click the i icon in front of the Space name on top of the screen.
Click Notifications.

In both cases, you can choose the following options:
All messages: For those Spaces that are really important to your role, use this setting to get notified every time a new message comes in. We don’t recommend this for Spaces with a large number of people.

@Mentions only: A really useful setting that means you only get notified when someone @mentions your name directly, or uses the @All feature to mention everyone in the Space. Highly recommend to help manage what’s really important, especially in large Spaces.

Off: To switch-off all notifications.
